Consistency beats cleverness

The biggest follow-up mistake is treating it as an event ("I'll chase that lead someday") instead of a rhythm. A cadence is a planned sequence of touches tied to the lead's stage, so nothing goes quiet unnoticed.

A simple cadence by stage

  • Inbox — one qualifying touch within 24–48h.
  • Proposal — friendly follow-up at day 3, a softer one at day 10, a final check at day 21.
  • Won — schedule the job and a post-delivery thank-you.

The cadence is light and staged, not a daily barrage. Pushy follow-up loses the relationship; silent follow-up loses the lead.

Keep it non-pushy

  • Reference the stage, not pressure ("following up on the quote" not "why no reply?").
  • One clear ask per touch.
  • Stop the moment the lead says no or goes quiet past the final check.

Where the pipeline helps

A by-stage pipeline makes the cadence visible: you see which proposals are at day 10 and which went quiet. TradeCRM groups leads by stage and suggests the next action, so the cadence runs off the view, not off memory.
